Incumbent serves as Secretary/Bailiff for the Magistrate, responsible for processing legal pleadings, assisting other county offices and assisting the public. DUTIES: Answers telephone and greets office visitors, providing information, taking messages and/or directing/transferring to appropriate individual or department as needed. Occasionally records and transcribes court proceedings as assigned; prepares, processes, and enters on computer various court documents and chronological case summaries. Maintains Court library, including filing new materials, recording items checked in/out and contacting publishers as needed. Prepares, oversees and assists jurors, including preparing and mailing summons and providing information. Performs a variety of clerical duties, including processing incoming mail, assisting Judge, scheduling court calendar, pulling/refiling records, and ordering office supplies as needed. Maintains office equipment, including monitoring repair/service agreements and updating office inventory. Periodically performs duties of Court Reporter in his/her absence or as needed. Serves on 24-hour call for emergencies. Performs related duties as assigned. RESPONSIBILITY: Incumbent performs a variety of standard and recurring duties with priorities determined by supervisor and service needs of the public. Work is reviewed for adherence to instructions/ guidelines and compliance with legal requirements. Errors in incumbent's work are usually prevented through procedural safeguards and notification from other departments, agencies, or the public. Undetected errors may result in loss of time to correct error and inconvenience to other agencies or the public.
