Responsibilities*

Provide complex secretarial support for Medical Procedure Unit administrative team. Maintain management team calendars and schedule meetings. Coordinate meetings, room reservation, prepare agenda, and take minutes. Respond to inquiries regarding highly sensitive and confidential material. Maintain filing and record keeping systems. Exercise initiative, independent judgment, a service-oriented attitude and follow-through in deadlines in a timely fashion. Communicate effectively with staff, support and maintain positive relationships. Develop and support excellent working relationship with division staff. Support change and process implementation with a positive attitude.

Process and submit biweekly and monthly payroll for bargain and non-bargain staff; follow up with any payroll issues. Provide attendance, PTO, probationary reports on a regular basis. Maintain staff personnel information in OneStaff for newly hired staff and updating existing information as needed.

Partner with Unit managers and HR to post positions. Assist with hiring process; onboarding and off boarding process, maintain email lists, pager distribution, locker assignment and staff phone lists. Maintain all personnel files in accordance with Joint Commission standards.

Process and reconcile various financial transactions including the placement of orders via P-Card and Purchase Order, and travel/hosting expense reports. Maintain database for MNA funds for nursing staff.

Required Qualifications*

  • Associate degree or equivalent combination of education and experience.

  • 4+ years of recent administrative and timekeeping experience.

  • Excellent verbal and interpersonal skills with a strong customer focus.

  • Excellent organization, multi-tasking skills and an ability to work independently and to exercise judgement in setting priorities.

  • Must be energetic, assertive and highly motivated with a positive and professional attitude.

  • Demonstrated ability to apply good judgment and handle confidential materials and situations with sensitivity and discretion is required.

  • Good problem-solving skills, initiative, flexibility and creativity.

NOTE: Required qualifications must be met by the candidate in order to be interviewed and considered for the position.

Desired Qualifications*

OneStaff experience preferred. Knowledge of the University policies and procedures demonstrated ability to use the following: Microsoft word and excel, M-Market site, M-Pathways, Google Docs, Peoplesoft, and One-Staff. Two to three years payroll/personnel experience preferred. Ideal candidate will have an excellent attendance record. Demonstrated ability to problem solve. Reasonable knowledge of the University of Michigan Health System policies.

Work Schedule

Hours: 40 hours Monday through Friday

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
