Estate Administration Clerk

Start Date: ASAP

Benefits:

Starting Salary: probationary - $14, after 90 days - $14.50

Medical: 99% coverage for employee after 90 days.

Retirement: 2% Simple IRA contribution w/o employee buy in

Flex Hours: 40 hours per week week between 7 am and 7 pm.

Description:

The Estate Administration Clerk has the most personal contact with the family upon the death of our client. This position is responsible for helping the clients' chosen representatives administer their trust estate, working with the probate court, collecting any fees due, and offering any additional services of the firm. The Estate Administration Clerk will also perform general office duties, such as answering the phone, making appointments, miscellaneous typing and filing.

*Duties: *

  • Create Client Asset Spreadsheet.
  • May place phone calls to clients and organizations to research information on behalf of the clients.
  • Make appropriate database entries according to the correspondence and communications with clients.
  • Understand the process of transferring the title of a variety of assets.
  • Update the database record for each action and contact with the clients.
  • Record at the county courthouse any required probate paperwork.
  • Participate in bi-weekly staff meeting, which includes providing input to law firm operations and procedures. Print progress reports for bi-weekly department meetings.
  • Provide ongoing client support, which includes receiving all client telephone calls and letter. Responsible for answering all routine client questions, which includes researching, action items, or delegating to others. Refer complex legal questions to attorney.
Skills:
  • It is vital that this person be warm, friendly, professional, courteous, poised, confident and sympathetic, as well as energetic and team-oriented. 
  • Excellent word processing, typing, spelling and grammar skills required.  
  • Familiarity with Microsoft 365.  
  • Strong organizational skills. 
  • Ability to work in fast-paced environment under the pressure of multiple deadlines. 
  • Dedication to accuracy
  • Skilled at proof reading
  • Attention to detail. 
  • Strong customer service background required. 
  • Notary license required.  If not a notary at hiring, office pays for notary process at 90 days. 
  • No previous law firm experience required
Education:
  • High School Diploma
