Production Administration Assistant

Orora Packaging Solutions is seeking an Office/Production Administration Assistant. The Office / Production Administration Assistant plays a crucial role in supporting various administrative functions within the office and production environment. This position requires a proactive individual with exceptional organizational skills and attention to detail. The incumbent will primarily assist with Environmental Health & Safety (EHS) compliance, Plant Machine Maintenance administration, and provide a support role in Customer Service, and Incoming goods/shipping to internal and external stakeholders.

  • Reports to: Site Manager, MPP Sycamore

  • Location: Onsite

  • Travel Requirement: 5 %

  • Hourly

What You’ll be Responsible For (Essential Job functions)

Environmental Health & Safety (EHS):

  • Implement and maintain documentation for EHS to ensure compliance with OPS policies and procedures to ensurecompliance with regulatory requirements, through OPS SheAssure.

  • Conduct regular inspections to identify potential hazards and assist with any implementation of correctivemeasures.

  • Assist Site and Plant Manager with Coordinating safety training programs for employees, preparation of alldocumentation to support all site initiatives

  • Maintain accurate records for EHS safety incidents, near misses, and corrective actions taken.

  • Coordinate and maintain central filing of hardcopy documentation and record keeping for the site.

  • Carry out any other duties required to the success and implementation of policies and procedures for MPSycamore

Maintenance Administration:

  • Liaise with the Site Maintenance Manager in the Scheduling and coordination of maintenance activities related to Equipment, Machinery, and facilities

  • Communicate with external vendors and contractors to arrange repairs and maintenance services

  • In conjunction with the Maintenance team, maintain inventory records of maintenance supplies and equipment,and reorder as necessary

  • Keep detailed records of maintenance expenditures and invoices for budgeting purposes

  • Ensure all Invoicing and Purchas order documents are processed and provide to OPS - APP Services in a timelymanner

  • Coordinate with Maintenance Team / Manager to assist with regular inspections of facilities to identifymaintenance needs and address them promptly

  • Carry out any other tasks and duties as required and/or directed by Management

  • Customer Service:

  • When required, serve as a point of contact for customer inquiries and requests

  • Respond to customer inquiries via phone, email, or in-person in a timely and professional manner

  • Process customer orders, returns, and exchanges accurately and efficiently

  • Resolve customer complaints or issues effectively, ensuring a positive customer experience

  • Collaborate with other departments to address customer needs and concerns promptly

  • Filing and Scanning of finished paperwork as and when required (DocLink)

  • Carry out any other tasks and duties as required and/or directed by Management

  • General Administrative Support:

  • Assist with data entry, filing, and document management tasks as needed

  • Schedule meetings, appointments, and travel arrangements for staff members

  • Prepare and distribute internal communications, memos, and reports

  • Assist with preparation of Presentations, PowerPoint, and training documentation

  • Support other administrative tasks and projects as assigned by management

  • Maintain confidentiality of sensitive information and adhere to company policies and procedures

  • Assist with shipping department when and where required with preparation of documentation for drivers anddeliveries

  • Assist with invoicing and scanning of documentation related to the shipping of finished goods and materials forProduction / Manufacturing

  • Daily - complete processing and uploading of received in coming goods in Amtech and purchase order receipted,upload of all documentation to APP online portal, or Doclink

  • Be a competent backup for the process of ordering of Corrugated Sheet material and any other manufacturingmaterials

  • Assist with monthly inventory counting, of raw materials and inks etc. and coordination, processing of final WIPsheets with Site Financial Controller

  • Working closely with Production / Manufacturing / Shipping staff to support them when required

  • Carry out any other tasks and duties as required and/or directed by Management

  • Performs other duties and/or responsibilities as requested.

What We’re Looking For

Required Experience and Education:

High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.

5+ years in proven experience in administrative roles, preferably in a manufacturing or production environment.

Strong knowledge of Environmental Health & Safety regulations and best practices.

Excellent organizational and multitasking abilities, with a keen attention to detail.

Exceptional communication and interpersonal skills.

Proficiency in MS Office Suite and other relevant software applications.

Ability to work independently with minimal supervision and collaborate effectively in a team environment.

Preferred Knowledge, Skills & Abilities:

Physical Requirements

  • Ability to lift and carry up to 25 pounds.

  • Capability to stand, walk, and bend for extended periods.

  • Willingness to occasionally work in a manufacturing environment with exposure to noise, dust, and varyingtemperatures.
